General Policies
Cancellation Policy:
As a small business, each appointment matters. We understand that events occur or you may need to cancel or reschedule an appointment and we are more than willing to accommodate you. However, in the event of a “no-show” or a same-day cancellation (less than 24 hours notice), the following applies:
-An appointment will be considered a “no-show” 15 minutes after the start of the appointment without contact from the client. In the event of a "no-show" appointment, the client releases the practitioner from session without penalty (practitioner may not be present should you arrive later than 15 minutes into the session without prior notification). “No-show” appointments will be billed the full amount of the appointment fee.
-Same-Day Cancellation (Less than 24 hours notice prior to client’s scheduled appointment time) will be billed the full amount of the appointment fee.
*We understand emergencies happen. Exceptions for this cancellation policy will be determined on an individual case-by-case basis at Rianda Wellness’ discretion.
Fragrance policy
We are generally a fragrance-free clinic. We do this because we serve many clients who are immunocompromised (cancer patients, children with developmental disabilities and sensory disorders, etc.), prone to seizures, migraines, and have severe asthma, allergies, and respiratory sensitivities. Because we also specialize in trauma, we do have clients who have triggers with specific scents that can elicit PTSD episodes or severe reactions and we seek to provide the safest environment possible. Our providers are also either allergic or highly sensitive to many chemicals so this enables us to provide you and the rest of our clients with the highest quality care. When you work with us, we ask you to come free of any fragrances (including strong hair care products, cologne, essential oils, laundry detergent, fabric softener, deodorant, etc.) Please contact us with specific needs or concerns regarding this. We do provide some types of aroma therapy or smudging in the clinic under certain circumstances and we would clear this individually with the client.
Payment policy
Payment in full is due at the time of service, unless pre-approved by Rianda Wellness. We accept cash, card, and PayPal. If you would like to pay by check, please contact us for approval. In the case of a bounced check, full payment of services and any additional fees are due immediately by client. Cancellation or No-Show fees will be billed on the authorized credit card included in your file, unless other arrangements are approved by Rianda Wellness. If you do not want to keep an authorized credit card in your file, you are still responsible for the payment of a no-show or late cancellation due immediately. In the event of client refusal to keep a card on file and a no-show or late cancellation, client will be required to prepay any subsequent sessions. Gift cards are available for purchase and are valid for 90 days from date of issuance. If a client has prepaid for a session(s), it is valid for 60 days. (There are no refunds on prepaid services or gift cards.) Payment Policy for Packages and Programs will be found within your individual contract terms for that package and that specific agreement.
We do not accept insurance at this time; however, we have been able to accept some Health Savings Accounts. Please do your own research to see if you qualify.
I acknowledge that should I fail to pay a fee for services rendered, Rianda Wellness will contact me via phone, email, and/or mail to recover payment. In the event of no payment after 90 days from date of services rendered, I am at risk of being taken to small claims court for payment recovery and/or damages.
Session policy
Any session booked with Rianda Wellness must adhere to those specific time constraints scheduled. If the client is late to their session, the missed time is still considered part of their session and does not merit a time extension. Please note: there are circumstances in which the therapeutic value of a session is reached and it would potentially be detrimental to do further work, even if there is time remaining in the session. In this circumstance, Rianda Wellness can adjust the session’s structure to allow for additional integration time, which can be utilized for rest, health education, meditation, stretching, etc. In this instance, this is still considered a complete session.
If the client does not prepare appropriately for their session (i.e. wears fragrance, wears inappropriate attire, arrives intoxicated or under the influence, or displays inappropriate behavior (such as sexual advances, harassment, or verbal/physical aggression), Rianda Wellness reserves the right to terminate the session and the client is responsible for the full balance of the scheduled appointment due immediately.
We reserve the right to refuse service to anyone at any time for any reason.
Client policy
We screen our clients to evaluate whether or not we a good match for any prospective client. This includes (1) that the prospective client’s primary goal is wellness/wellbeing (2) that our services are a good match for their current intentions. In addition, any client wishing to do an extensive package is required to complete at least one session of each session type included in the proposed package (NeuroTune Body Therapy, NeuroTune Experience, Body Wisdom Coaching, and NeuroTune Coaching, as applicable to the specific package) before the purchase of the package to help determine best fit and client satisfaction. All clients of Rianda Wellness agree to provide and disclose any information pertinent to their care including but not limited to medical information, such as: medication changes, surgeries, diagnoses, treatments, hospitalizations, etc. The client is responsible for updating Rianda Wellness with new information; any information that is withheld from Rianda Wellness and subsequent results of withholding that information is not the responsibility or liability of Rianda Wellness.
Note: we generally do not accept clients who are in process of a legal dispute such as workman’s compensation or a case including physical dysfunction or damages, as this individual's primary goal would be proving dysfunction for the duration of the case. This is in conflict with our premise to work with client’s whose primary goal is wellbeing. We successfully work with many clients upon the completion of such a case.
If you are already a client and you are going into a litigation process, notify us as soon as you are aware and we will meet with you to determine the best course of action in regard to services with Rianda Wellness.
Distribution policy
Any materials (electronic, digital or printed) received from Rianda Wellness that are part of a paid service are not to be distributed or sold in any way. All of our Guides (pdf form) are the copyrighted intellectual property of Rianda Wellness and are not to be distributed, copied, or sold outside of Rianda Wellness.
client conduct policy
The services provided by Rianda Wellness are professional in nature and we strive to maintain the highest degree of professional ethics. This expectation also extends to our clients.
Services and client relationship may be terminated at any time by Rianda Wellness if a client becomes aggressive (verbally or physically) and/or sexually inappropriate. This includes solicitation for sexual or adult services, sexual harassment, etc. Should this solicitation or harassment occur, Rianda Wellness has the right to report it to the local authorities. Solicitation of a sexual nature results in an immediate termination of the client relationship and services with Rianda Wellness without refund of any professional services rendered.
You will receive a copy of these policies and procedures and be required to sign an agreement to them upon starting services with Rianda Wellness.
